Operations Administrator

Operations Administrator

Are you a detail‑driven administrative professional who thrives in a structured, process‑led environment?

This role is central to maintaining smooth, accurate, and timely administrative workflows, ensuring our internal processes are well‑coordinated and compliant. You’ll support business efficiency through precise data handling, documentation management, reconciliation activities, and clear cross‑department communication.

We’re seeking a highly organised Operations Administrator who enjoys working with data, following structured procedures, and keeping administrative processes controlled and efficient.

If you take pride in accuracy, consistency, and creating logical, well‑managed systems, this could be the perfect fit for you.

What you’ll be doing

As an essential member of the Operations Team, reporting directly to the Operations Manager, you’ll take ownership of day‑to‑day and ad hoc operational processing, including:

Data Processing & Reporting

· Manage daily data entry to ensure sales, goods movements, and logistics information is accurate and up to date across all systems and reports.

· Maintain and reconcile daily and monthly reporting within Excel, identifying discrepancies and implementing corrective actions.

· Update, analyse, and validate operational data to support clear and accurate business reporting.

Cross‑Department Collaboration

· Coordinate with internal teams to ensure all customer‑facing communication and end‑to‑end processing tasks are completed in line with SLA requirements.

· Support proactive problem‑solving by identifying issues early and escalating where required.

Finance & Invoicing Support

· Reconcile third‑party invoices against actual records of machine or goods movements.

· Processing of machine and spares invoicing, ensuring all invoices are correct, investigating any mismatches, and communicating outcomes to the Finance team.

Stock & Systems Reconciliation

· Maintain oversight of stock reports across all storage locations to support accurate stock control.

· Maintain, reconcile, update and oversee the machines database, ensuring information is always current, accurate, and useful for operational and customer‑facing teams.

· Reconcile business systems and communicate updates, discrepancies, or required actions to relevant teams efficiently and clearly.

Workload & Team Support

· Prioritise and manage individual tasks while supporting broader team objectives.

· Maintain high levels of accuracy and control, particularly when managing multiple concurrent tasks.

What we’re looking for

· High attention to detail and a process‑driven mindset, with the ability to identify issues and escalate them efficiently and clearly.

· Strong verbal and written communication skills, with the ability to collaborate effectively across multiple teams.

· The ability to work independently, prioritise tasks, manage deadlines, and maintain accuracy under pressure.

· A proactive attitude, strong work ethic, and a commitment to delivering high‑quality work.

· Ability to remain organised and maintain control in a fast‑moving environment where plans frequently change.

· A positive, solutions‑focused attitude that supports effective teamwork and operational flow.

What will set you apart

· You have a natural instinct for organisation, maintaining clean, accurate data even during busy periods.

· You thrive in fast‑paced, multi‑stakeholder environments, staying calm, structured, and communicative under pressure.

· You build strong cross‑department relationships and become the person teams rely on for clarity, accuracy, and timely updates.

· You consistently understand how changes impact the wider process and ensure all updates are actioned accurately and promptly.

· You demonstrate exceptional discipline and reliability, ensuring no task, detail, or discrepancy is overlooked.

· You’re confident using data to guide decisions, highlight issues early, and support operational efficiency.

· You take ownership, follow tasks through to completion, and pride yourself on getting things right first time.

· You’re proactive, curious, and always looking ahead to anticipate problems before they surface.

· You bring a positive, solutions‑focused attitude that keeps the team aligned, informed, and moving forward.

Systems & Experience

· Experience within an operations, logistics, transport coordination, or production‑planning environment (preferably B2B).

· Strong Excel skills, including data accuracy, reconciliation, and multi‑report management.

· Familiarity with cost analysis and strong data‑handling capability.

· Solid understanding of stock control, order processing, and goods movement.

· Experience using SAP and Salesforce CRM (desirable but not essential), with the ability to learn new systems quickly.

· Experience identifying data discrepancies, implementing corrective actions, and maintaining clean, reliable reporting.
